What ToolNaka automates once connected

When this happens…Who gets a WhatsApp message
An order is placedThe seller (new order to fulfil) and the factory (confirmation with amount).
A delivery status changesThe factory — requested, picked up, out for delivery, delivered.
The payment reminder runs (Mon/Wed/Fri)The factory — pending invoices and total, alongside the existing email.
A department head flags or blocks a sellerThe seller — the reason and how to resolve it.
Someone texts "status" to the ToolNaka numberAn instant reply with their latest order number, status and amount — and status TN-ORD-000001 for a specific order.
Anything elseThe Meta Business Agent answers from your catalogue, website and FAQs — and hands over to a human when needed.

Everything is best-effort: if WhatsApp is not configured, the rest of ToolNaka works exactly as before.

Setup — four parts, about 30 minutes

Part A · Turn on the Meta Business Agent (Meta's new AI)

The Business Agent is Meta's June 2026 release for businesses: an AI that answers customer questions on WhatsApp and Messenger from your own content, 24×7, with a path to a human.

1

Open the AI agent tool

In the WhatsApp Business app on the ToolNaka business phone: Tools tab → AI agent → Continue → Accept. In Meta Business Suite (business.facebook.com), the same tool lives under the business tools/AI section.

2

Feed it the ToolNaka knowledge

Point it at https://toolsnaka.store and add the key FAQs: "how do I place an indent?", "what are the approval limits?", "how do I track an order?", "how do returns work?". The agent answers from these.

3

Test it and keep the human path

Message the number from your own phone and check the answers. Keep hand-over on, so an unanswered question reaches the ToolNaka team instead of a dead end.

Menu labels move around as Meta updates the app. These steps follow the June 2026 release — if a label has shifted, search the same term in Business Suite help.

Part B · Give ToolNaka permission to send (Cloud API tokens)

1

Create a Meta developer app

Go to developers.facebook.com → My Apps → Create App → Business. Inside the app, add the WhatsApp product.

2

Add the business phone number

In WhatsApp Manager → Phone numbers, add the ToolNaka business number (it must not be active on a regular WhatsApp app on another phone). Note the Phone number ID shown on the API Setup page — that's the long number, not the phone number itself.

3

Create a permanent access token

Business Settings → Users → System users → add a system user (e.g. "ToolNaka Server") → Generate new token → pick the app → grant whatsapp_business_messaging and whatsapp_business_management → copy the token. (The temporary 24-hour token on the API Setup page is only for quick tests.)

4

Paste into Vercel

Vercel → project toolnaka → Settings → Environment Variables → add:

VariableValue
WHATSAPP_TOKENThe permanent token from step 3
WHATSAPP_PHONE_NUMBER_IDThe Phone number ID from step 2
WHATSAPP_VERIFY_TOKENAlready set for you — it's visible in Vercel under this name. You'll paste this same value into Meta in Part C.
WHATSAPP_APP_SECRETFrom the app's Settings → Basic (App secret). Recommended — lets ToolNaka verify every incoming webhook call.

Then Redeploy (Deployments → ⋯ → Redeploy), so the new values are picked up.

Part C · Point Meta's webhook at ToolNaka

1

Configure the callback

In the app → WhatsApp → Configuration → Webhook → Edit:

  • Callback URL: https://toolsnaka.store/api/whatsapp/webhook
  • Verify token: the exact value of WHATSAPP_VERIFY_TOKEN from Vercel

Press Verify and save. (Verification needs the Part B redeploy to be finished.)

2

Subscribe to messages

Under Webhook fields, subscribe to messages — delivery receipts and inbound texts then flow to ToolNaka, powering the "status" replies and the notification centre.

Part D · Optional — send notifications any time (approved template)

Meta allows free-form messages only within 24 hours of the user's last message to you. For fully automatic notifications outside that window, create one template:

1

Create the template

WhatsApp Manager → Account tools → Message templates → Create template. Category Utility, language English, body with a single variable {{1}} carrying the update text. Name it, e.g. toolnaka_update, and submit for approval (usually minutes to a day).

2

Switch it on

Add Vercel env var WHATSAPP_TEMPLATE_UTILITY=toolnaka_update and redeploy. All notifications then arrive as this approved template — no 24-hour limit. Without it, ToolNaka still sends free-form messages, which is fine during testing and for anyone who has messaged you recently.

Testing checklist

Do thisExpect
Vercel env has the four WHATSAPP_ values → redeployDeploy succeeds.
Meta → Configuration → Verify and save"Verified" — the token matched.
ToolNaka admin → Integrations tab → WhatsApp card → Send testThe phone receives the test message; the card shows the status chips green.
Text status from a registered vendor/factory phoneInstant reply with the latest order and its status.
Place a test order on toolsnaka.storeSeller and factory receive the order message.
